Karamba Reservations adheres to the careful duty of a proper business for the conscientious travel preparation, the careful selection and supervision of performances, the correctness of the itineraries and the orderly execution of the duties laid down in the contract.
Karamba Reservations will not be liable with regard to the information, performance and indication listed in someone else’s travel documents, especially not about the quality and time of someone else’s performances.
Please note: Camping is subject to a surcharge of N$ 15-00 per person as applicable.
Drivers Licenses
It is the responsibility of the client, who undertakes a Self-Drive Tour in Southern Africa, to obtain a valid international Driver’s License before the departure date.
The license of the country of origin must be presented too.
Visas, Passports & Health Regulations
Karamba Reservations does not take any responsibility for visas and customs regulations and sees it as the duty of the clients to inform themselves before their departure about these regulations. It is the obligation of the client to ensure, if he or she is medically fit and able to embark upon a tour. Clients should take professional advice about anti-malaria precautions prior to departure.
Payment
All prices are inclusive of VAT at 15% in Namibian Dollar (N$).
Payment in approved currency will be accepted at the rate of exchange of the bankers of Karamba Reservations at the time of the receipt of payment.
Any shortfall resulting in exchange fluctuations will be for the account of the customer.
Payment must be made 61 days prior to arrival and can be made by electronic transfer, credit card (VISA and MASTER card are both accepted).
Cancellations Policy
Any cancellation of bookings made between 60 to 45 days prior to arrival will result in a 10% cancellation fee of the total cost.
Any cancellation of bookings made between 44 to 30 days prior to arrival will result in a 30% cancellation fee of the total cost
Any cancellation of bookings made between 29 to 15 days prior to arrival will result in a 60% cancellation fee of the total cost
Any cancellation of bookings made between 14 to 0 days prior to arrival will result in a 100% cancellation fee of the total cost
100% of the total cost for any non-arrival.
Changes to Agreement
Karamba Reservations may, in its sole discretion, change this agreement or any part thereof at any time without notice.
Disputes
In the event of any dispute of any nature whatsoever arising between the parties on any matter provided for in, or arising out of this agreement, such dispute shall be resolved through a mediation and arbitration process agreed to by the parties concerned.
Insurance
Karamba Reservations will not be liable for lack of travel insurance taken out by the client in terms of national law or international law, or in the case of the client not taking out travel insurance in the case of no legal requirements demanding travel insurance.
Tourism Levy
The tourism levy has been introduced by the Minister of Environment and Tourism by virtue of powers invested to him through the Namibia Tourism Board Act, passed by Parliament earlier this year. Every accommodation establishment in Namibia, excluding campsites, camping and caravan parks, will be required to pay a tourism levy to the Namibia Tourism Board (NTB). A 2% Bed & Breakfast tariff or bed-only tariff, or 1% on all-inclusive prices will be applicable.

Our Reservation Policy for Hotels and Rent-A-Driver:
By making reservations through our reservation system you enter into a service agreement as follows:
When making a reservation we will try and confirm it soonest. Once we send the confirmation slip by e-mail, we require your credit card details within 5 days from the date of the confirmation slips. This will secure your reservation. However, should we have your credit card details on records already for other reservations, then this confirmation is final. 60 days prior to arrival we will debit your credit card for the amount of your accommodations as per confirmation slips plus a non-refundable 8% Reservation Fee. Residents of SADC countries are exempt from the Reservation Fee. We will then send you within 5 days the actual hotel vouchers to be presented to the hotels for payment. Your payment is immediately forwarded to the respective hotel or Rent-A-Driver. In case of Rent-A-Driver, after confirmation we will send you the rental agreement which you must sign and fax back to us.
We will send you a voucher as we do for the hotel reservations.
Should you make a reservation which falls within the 60 day period, your credit card will be debited on the same day we receive your credit card details. Your payment is immediately forwarded to the respective hotel or Rent-A-Driver. Cancellation fees apply immediately.
Direct deposits into our bank account can also be made. A copy of the deposit slip must be faxed to us before we will issue the hotel vouchers. You must indicate that option when making reservations. Our banking details will be communicated to you by e-mail should you decide to make use of this form of payment.

The submission of your credit card details to Karamba Reservations expressly authorizes Karamba Reservations to debit your credit card for all services rendered as outlined above. This includes also additional debits in case of additional room charges, room rate changes, room rate errors and/or legitimate additional charges submitted by hotels as well as from Rent-A-Driver. The contract for accommodation is between the credit card holder and the hotel or between the the cardholder and Rent-A-Driver respectively. Under the "Namibia Accommodation Act" the guest/cardholder is fully liable to the hotel for all services rendered.

CANCELLATION POLICY
From the date of reservation made until 61 days before arrival you may change your reservations or even cancel them all together without any charges.
EXCEPTION: For reservations at resorts operated by Namibia Wildlife Resorts Ltd. a 10% deposit is in any case forfeited.
Once payment has been processed the following cancellation periods & fees apply:
90-56 days before arrival at resorts operated by Namibia Wildlife Resorts (NWR) 10% deposit forfeited
55 or less days before arrival at resort operated by Namibia Wildlife Resorts (NWR) 100% of the room rate.
At all other accommodation establishments:
60-46 days before arrival 15% of the room rates
45-31 days before arrival 25% of the room rates
30-16 days before arrival 50% of the room rates
less than 16 days before arrival 100% of the room rates
These cancellation fees and periods also apply to reservations made for Rent-A-Driver
We recommend that you take out a Trip Cancellation Insurance from your own household insurer or through your travel agent at home. Unfortunately this type of insurance must be purchased in the country of origin.
